Getting the Most from Your Support or Information Request
Barcoding and EDI questions are much easier to resolve when the first message carries the right details. Before you write, take a moment to gather the basics so the person reading your request can start working on it rather than asking follow-up questions.
For barcoding and labelling issues
- The symbology involved (for example UPC-A, EAN-13, Code 128, GS1-128 or a 2D code such as Data Matrix or QR).
- The printer make and model, the label stock and the software or template used to produce the label.
- What happens when the code is scanned: no read, a partial read or the wrong data returned. A photo of the printed label is often more useful than a long description.
- Any trading partner or retailer label specification you are trying to meet, such as a shipping label layout.
For EDI and integration questions
- The transaction set or message type, such as an 850 purchase order, 856 advance ship notice or 810 invoice.
- The trading partner involved and whether the problem affects one partner or all of them.
- Control numbers, timestamps and any acknowledgement or rejection messages (997 or 999) you received.
- Recent changes to your ERP, mapping or communication setup, since many errors follow an update.
Choosing the right channel
Sending your message to the address that matches its purpose helps it reach the right team without being forwarded. Sales and pricing questions belong with sales, technical faults with support, and general enquiries with the information address. If an issue is time-sensitive, such as a rejected shipment notice holding up a delivery, say so clearly in the subject line.
Never include passwords or full payment details in an email. If credentials need to be shared, ask for a secure method first.
Many common questions are covered before you need to write at all. The support overview outlines how requests are handled, and the resources section collects background on barcode standards and EDI documents that can help you narrow down a problem or prepare a more precise question.
